Getting started
Create your account, set up your shop, and share your booking link.
- Open the sign-up page (use the Sign up button at the top of this page).
- Enter your name, your shop name, email and a password, then choose Create account.
- Or choose Continue with Google to sign up with your Google account.
- You'll land in the setup wizard automatically. To return later, open the app and sign in with the same email and password.
The wizard walks you through the essentials the first time you sign in. Everything can be changed later in Settings.
- Enter or confirm your shop name, address, phone number and timezone.
- Set your business hours — mark any days you're closed as Closed.
- Add at least one service with a duration and price.
- Add at least one staff member (yourself is fine).
- Choose Finish setup to go to your dashboard.
- Your public booking page lives at bookluxe.app/book/your-shop-slug.
- Open the Dashboard — your link is shown there — or find it in Settings.
- Copy the link and paste it into your Instagram bio, Google Business profile, website, or text it directly to clients.
- Clients book as guests — they never need an account.
Shop settings
Your shop profile, logo, hours and booking rules.
- Open Settings from the navigation bar.
- Update any of the shop details fields.
- Choose Save shop. The timezone controls how appointment times are displayed and when reminders are sent, so set it to your local timezone.
- Open Settings and find the Logo section.
- Choose Upload logo and pick an image file from your device (up to 5 MB).
- In the crop window, drag the image to position it and use the zoom slider to zoom in or out. The frame stays locked at a wide 3:1 shape.
- Choose Save, then press Save shop. The logo appears at the top of your public booking page with your shop name below it.
- Use Replace or Remove any time to change it.
- Open Settings and scroll to Business hours.
- For each day, set an open and close time, or mark the day Closed.
- Save. Closed days disappear from your calendar and from the public booking page, so clients can only ever pick days you're open.
- Open Settings and find the booking rules.
- Set the buffer minutes — extra time blocked after each appointment for cleanup (10 minutes is a common choice).
- Set the lead time so clients can't book at the very last minute, and how far into the future they can book.
- Save. The public booking page applies these rules instantly.
Services
What you offer, how long it takes and what it costs.
- Open Services from the navigation bar and choose Add service.
- Enter the name, duration in minutes and price.
- Optionally add a description or category to help clients choose.
- Save — the service is bookable online right away.
Services are archived rather than deleted, so your appointment history and reports stay accurate.
- Open Services and choose Edit on the service.
- Change any field and save, or choose Archive to retire it.
- Archived services no longer appear on the public booking page, but past appointments and revenue reporting are untouched.
- You can restore an archived service at any time.
Staff
Your providers, their hours and what they offer.
- Open Staff from the navigation bar and choose Add staff.
- Enter their name and optionally add a photo — clients see it when booking.
- Keep them Active so they appear on the booking page; switch to inactive to hide them without losing their history.
- Save.
- Open Staff and choose the staff member.
- Set their working hours for each day of the week — these can differ from the shop's business hours.
- Save. Online bookings are only offered inside both the shop hours and that provider's hours.
- Open Staff and choose the staff member.
- Tick the services that provider performs.
- Save. When a client picks a service online, only providers assigned to it are offered — alongside the Any available option.
Clients
Client records, history and private notes.
- Open Clients from the navigation bar and choose Add client.
- Enter their name, and optionally phone, email and notes.
- Save. Clients are also created automatically whenever someone books online, matched by phone or email.
- Open Clients and choose the client.
- Choose Edit to change their details, or Archive to hide them from your active list.
- Archived clients can be restored at any time from the archived view.
- Delete permanently removes the client record — their past appointments stay in your history and reports, just no longer linked to a name.
- Open a client's record to see every appointment they've had.
- Add or edit Private notes — formulas, allergies, preferences.
- Notes are visible only to you and your staff, never to the client.
Calendar & appointments
Your day and week at a glance, and booking for clients who call or walk in.
- Open Calendar from the navigation bar.
- Use the Day / Week toggle to change the view and the arrows to move between dates.
- Use the staff filter to see one provider's column, or everyone at once.
- Open Calendar and choose Add appointment.
- Pick the client (or add a new one), the service, staff member, date and time.
- Save — the appointment appears immediately and the same availability rules apply, so you can't double-book.
- Choose any appointment on the calendar to open its details.
- Update the status — confirmed, completed, or no-show — as the appointment happens.
- Choose Cancel to free the slot. The client receives a cancellation message if messaging is set up.
Days marked Closed in Settings don't appear on the calendar or the public booking page. If a closed day already has appointments, it stays visible so you never lose track of them.
Online booking
What your clients see and how availability works.
- Clients open your link, such as bookluxe.app/book/your-shop-slug, and see your logo and shop name.
- They pick a service, then a provider or Any available.
- They pick a date and a time, then enter their name, phone and email.
- They get an on-screen confirmation plus a confirmation message — no account needed.
A time is only offered when it fits inside the shop's business hours and the provider's working hours, doesn't overlap that provider's other appointments, leaves room for the service duration plus your cleanup buffer, and respects your booking lead time.
Availability is checked again at the moment the client confirms, not just when they picked the time. If someone else took the slot a second earlier, the booking is safely refused and the client is asked to pick another time — so double-booking can't happen.
Reminders & messages
Confirmations, reminders and cancellation notices by SMS, email or both.
Every client receives a confirmation immediately after booking, by SMS, email, or both depending on your settings. No action is needed from you.
- Open Settings and find the reminder options.
- The first reminder sends 24 hours before the appointment by default.
- Optionally enable a second reminder, which sends 2 hours before by default.
- Choose the channel — SMS, email, or both. Text messages run through Twilio and email through Resend; ask us if you'd like these connected for your account.
When you cancel an appointment from the calendar, the client automatically receives a cancellation message on your chosen channel.
Reporting
How your shop is doing, straight from your appointment data.
- Open Dashboard from the navigation bar.
- See today's and this week's appointment counts at the top.
- Occupancy shows how much of your available time is booked.
- No-show rate is calculated from appointments marked no-show, so keeping statuses up to date keeps the number accurate.
Admin
For the bookluxe platform team.
Platform admins see an Admin link in the navigation bar. From there they can view every salon and spa account on the platform. Regular owners only ever see their own shop.
